How to Track Rental Returns in Asset Assign (Step-by-Step)

How to Track Rental Returns in Asset Assign (Step-by-Step)

You just wrapped up a busy weekend of events. Letters went out to three different clients, a backdrop  went across town and your pipe and drape was installed at a venue Friday night.

Now it's Monday morning, and you're staring at your inventory shelf trying to figure out... did everything come back?

If you've ever been in that moment; squinting at a whiteboard, scrolling through texts, or flipping through a notebook trying to piece together what's been returned and what hasn't; you already know why this matters. Unreturned inventory doesn't just create confusion. It blocks future bookings, leads to double-booking disasters and costs you real money when items go missing.

Asset Assign was built to eliminate that guesswork entirely. Here's how rental return tracking works inside the app, step by step.

What Does "Marking Items as Returned" Actually Do?

Marking a rental as returned in Asset Assign updates the reservation status from active to completed, marks each item in that reservation as returned and immediately frees up that inventory for future bookings.

That last one is the critical piece. Your availability calculations are directly tied to return status. If a rental ended last Tuesday but you never marked it as returned, Asset Assign considers those items "uncollected." That means they'll show as unavailable when you check phrases or browse inventory for upcoming dates; even though the items are sitting right there on your shelf.

Marking items as returned isn't just a nice record-keeping step. It's what keeps your availability accurate and your future bookings reliable.

Where Do I Find Rentals That Need to Be Returned?

The "Items Ready for Return" section lives right on your dashboard. You'll see it every time you log in.

Asset Assign automatically surfaces any reservation where the end date has passed but the items haven't been marked as returned yet. Each card in this section shows the client name, the phrase (if applicable), the style used and when the rental period ended.

You don't have to go hunting through your calendar or scrolling through old reservations. If something is overdue, it shows up here automatically.

How Do I Mark a Rental as Returned?

Here's the best part; it takes one click.

Each reservation in the "Items Ready for Return" section has a checkbox next to it. Click that checkbox and Asset Assign handles the rest. The reservation status moves to "Completed," every item in that reservation gets marked as "Returned" and your inventory availability updates.

No forms to fill out. No extra confirmations. Just check the box and you're done.

Your dashboard stats update in real time too; the "In Progress" count drops by one and the "Completed" count goes up, so you can always see where things stand at a glance.

What Is the "Needed By" Date Warning?

This is one of the smartest features in the return tracking system, and it's easy to overlook if you don't know what it's telling you.

When a past-due rental contains items that are also booked for an upcoming reservation, Asset Assign calculates the earliest upcoming start date for any of those shared items and displays it as a "Needed By" date warning in red.

For example, say your letter A went out for a wedding last Saturday and the rental period ended Sunday. You haven't marked it as returned yet. But you also have a booking next Friday that needs the A. Asset Assign will flag that Saturday rental with "Needed by Friday" so you know to prioritize getting those items back and checked in.

This warning shows up both on the dashboard and in your daily digest email, so you'll see it whether you're logging into the app or just checking your inbox.

How Do Daily Digest Emails Help With Returns?

Asset Assign can send you a daily email summary that includes three key sections; items ready for return, pending reservations starting within seven days and unresolved reservations that were supposed to start but are still in pending status.

The "Items Ready for Return" section in the email mirrors what you see on the dashboard. It lists every overdue rental with the client name, end date, phrase and that "Needed By" warning when applicable. So even on days when you don't open the app, you still get a heads-up about what needs attention.

You can toggle each of these notification types on or off individually from your Settings page. If you only want past-due return reminders but don't need the pending or unresolved alerts, you can customize that. And if you want to turn off daily emails entirely, there's a master toggle for that too.

How Do Returns Affect My Inventory Availability?

Asset Assign calculates availability using a straightforward formula; total quantity minus currently reserved quantity minus uncollected quantity equals available quantity.

"Uncollected" items are the key concept here. These are items from reservations that have ended but haven't been marked as returned. Asset Assign treats them as unavailable because, as far as the system knows, they're still out with a client.

Once you mark a rental as returned, those items immediately move out of the "uncollected" bucket and back into your available pool. That means your phrase checker, your inventory availability view and your new reservation flow all reflect accurate, up-to-date numbers.

Here's a real scenario that illustrates why this matters. Let's say you own 3 letter Ds. One is currently out for an event this week (reserved), and another came back from last week's event but you forgot to mark it as returned (uncollected). When a new client asks to book the letter D for next month, your availability would show only 1 available instead of 2; because that uncollected set is still being held against your count.

The fix? Mark last week's rental as returned. Instantly, your availability corrects to 2 available, and you can confidently book that new client.

Tips for Staying on Top of Returns

Getting into a return-tracking habit is the single best thing you can do for your inventory accuracy. Here are a few practical tips.

Make it part of your post-event routine. As soon as items are back on your shelf (or back in your car, or back in storage), open Asset Assign and check that box. It takes five seconds and saves you from compounding confusion later.

Use the daily digest as your morning checklist. Turn on the "Past due reminders" notification in Settings. Every morning, you'll get an email showing anything that needs to be marked as returned. Treat it like a quick to-do; scan it with your coffee and knock out any outstanding returns before your day gets busy.

Pay attention to "Needed By" warnings. If you see a red "Needed By" date on a past-due rental, that's your signal to follow up immediately. Those items are not only blocking a future booking, but you've also promised them to another client.

Check your dashboard regularly. Even a quick glance at the "Items Ready for Return" section tells you whether you're caught up or falling behind. If it says "Nothing waiting for return right now," you're in great shape.

What Happens If I Never Mark Something as Returned?

Nothing will break; but your availability data will slowly become less and less accurate.

Uncollected items stay in limbo indefinitely. They'll continue to count against your available inventory, which means your phrase checker could show items as unavailable when they're actually sitting on your shelf. Over time, this can lead to turning away bookings you could have accepted.

The good news is that catching up is easy. Just visit your dashboard, check off anything that's been returned and your numbers will snap back to reality.

Ready to Stop Guessing?

If you're still tracking returns with memory, text messages or a color-coded whiteboard... there's a better way. Asset Assign shows you exactly what's outstanding, warns you when items are needed for upcoming events and lets you mark everything as returned with a single click.
